How to Build a Weekly Research Bot

A practical guide to turning recurring research work into a bot that gathers sources, filters noise, and sends a useful report.

Most research work does not fail because it is hard.

It fails because it is repetitive.

You check the same sites every week. You search the same keywords. You skim ten tabs, save three links, forget where you saw the useful quote, then rush out a summary that sounds thinner than the time you spent on it.

That is exactly the kind of work people try to hand to AI. And that is also where a lot of AI workflows break.

They break because the job gets stuffed into one giant prompt:

“Go research this topic, find the important changes, compare competitors, summarize what matters, and send me something useful.”

That can work once.

It usually does not work every Tuesday at 8am.

Why research bots go off the rails

Weekly research sounds simple, but it is actually a chain of smaller jobs:

  1. Find fresh information.
  2. Ignore junk.

When you ask one prompt to do all of that at once, you usually get one of three bad outcomes:

2. Filter and rank

Raw source collection gets noisy fast.

A bot may find twenty links, but only four of them matter. This second task should throw out duplicates, weak matches, and low-value mentions.

A helpful filter prompt might say:

Review the collected sources and keep only items that show a meaningful business, product, pricing, or positioning change. Remove duplicates and low-information articles. Rank the remaining items by likely importance for a product or marketing team.

This is where quality starts to improve. The bot stops acting like a search engine dump and starts acting like an operator with a checklist.

3. Extract the facts

Now the bot can pull out the details that matter.

This step should stay close to the source. It is not the place for big conclusions yet. It is the place for structured notes.

For each source, extract things like:

  • company name
  • date
  • type of change
  • exact evidence from the page
  • why it matters
  • confidence level if the signal is weak

This structure helps a lot later. It also makes the run easier to review if something looks off.

4. Write the report

Only after the facts are collected should the bot write the final summary.

This is where you ask for clean formatting, grouping, and plain-English takeaways.

For example:

Write a weekly competitor report for an internal team. Start with a 5-bullet executive summary. Then group updates by competitor. For each update, include what changed, the supporting source, and why it matters. Keep the tone factual and concise. Do not include items with weak evidence.

That prompt works better because the hard thinking has already happened upstream.

5. Deliver the result

The last step is distribution.

Maybe that means email. Maybe it means posting to Slack. Maybe it means saving the output somewhere your team already checks every week.

This part matters more than people think. A report nobody sees is just a well-organized draft.

A concrete example workflow

Here is a simple weekly research bot for tracking three competitors.

Task 1: Search for updates

Search the live web for each competitor’s blog, pricing page, product pages, and recent news coverage from the past 7 days.

Task 2: Clean the list

Remove duplicate URLs, weak mentions, and items that do not show a real change.

Task 3: Extract structured notes

For each kept source, record:

  • competitor
  • source title
  • publish date
  • category of update
  • supporting evidence
  • short explanation of why it matters

Task 4: Draft the report

Turn those notes into:

  • a top summary
  • a section for each competitor
  • a short “watch next week” note if patterns are starting to form

Task 5: Send it

Email the report every Monday morning.

Bad prompt:

Research competitors and tell me what matters.

Better prompt:

Review these collected sources and keep only updates that reflect a product launch, pricing change, partnership, messaging shift, or new strategic claim. Ignore opinion pieces, reposts, and articles that do not contain a concrete change.

The second version gives the model a job with boundaries.

That matters because research is full of judgment calls. If you do not tell the bot how to judge, it will make up its own rules.

A few prompt habits help a lot here:

Tell the bot what to ignore

People spend too much time describing the ideal output and not enough time describing the junk.

For research bots, junk usually includes:

  • duplicate coverage of the same announcement
  • articles with no new information
  • vague trend pieces
  • low-quality aggregator sites
  • social posts without evidence

Spell that out.

Ask for structure before prose

Structured outputs are easier to debug than polished paragraphs.

If a report looks wrong, you want to trace it back to the extracted facts, not guess where the model drifted. That is why it helps to make the middle steps produce fields, not essays.

Keep each task single-purpose

A task should do one kind of thinking.

Searching is different from filtering. Filtering is different from summarizing. Summarizing is different from formatting.

When you separate those steps, quality usually goes up and prompt editing gets much easier.

Add a review point where mistakes are expensive

Not every bot needs a human in the loop. But some jobs do.

If the report goes to leadership, customers, or a broader team, it can make sense to review the extracted facts or the final draft before sending. The more visible the output, the more useful that checkpoint becomes.
